Policy Summary
Effective date: 30 April 2026. This page applies to use of wkdsounds.systems and to personal information provided to WKD Sounds Systems® through enquiries, bookings, contact forms, email, telephone, and related event services.
1. Website Use
The WKD Sounds Systems® website is provided for information, enquiries, bookings, and contact with the business. You must not misuse the site, attempt unauthorised access, introduce malicious code, copy content for unlawful use, or interfere with normal operation of the website.
2. Enquiries, Quotes, and Bookings
Information sent through the website, by email, or by telephone may be used to respond to enquiries, prepare quotes, manage bookings, arrange sound system services, support customers, and keep business records. Bookings are subject to availability, written confirmation, agreed pricing, and any event-specific terms confirmed with the customer.
3. Information We May Hold
- Contact information: name, email address, telephone number, address, and any business or venue details you provide.
- Event information: event date, location, schedule, access details, technical requirements, and service preferences.
- Business records: quotes, invoices, receipts, payment references, correspondence, and booking history.
- Website information: basic technical information that may be generated when visiting the site, such as browser, device, security, or server log information.
4. Why We Use Information
Information is used to answer enquiries, provide sound system services, manage customer relationships, maintain accounts and tax records, protect the website, comply with legal obligations, and resolve disputes or insurance matters where required.
5. Retention and Deletion
WKD Sounds Systems® applies a maximum six-year retention period for personal information connected with enquiries, bookings, and business records. The six-year period starts from the last relevant contact, booking, transaction, or the end of the financial year to which a business record relates, depending on the record type.
At the end of the applicable six-year period, information will be deleted, destroyed, or anonymised so that it is no longer linked to an identifiable person. Backups and archives will be cleared through normal backup replacement and deletion cycles, provided the information is no longer needed.
6. Earlier Deletion Requests
You may ask WKD Sounds Systems® to delete your personal information before the six-year period ends. Where the information is no longer needed and there is no legal or business reason to keep it, WKD Sounds Systems® will delete or anonymise it.
7. Sharing Information
Information may be shared only where reasonably necessary, such as with event suppliers, venues, payment or accounting providers, professional advisers, insurers, regulators, or authorities. Information is not sold to third parties.
8. Security
Reasonable technical and organisational measures will be used to protect information from unauthorised access, loss, misuse, or disclosure. Access should be limited to people who need the information for legitimate business purposes.
9. Your Rights
You can request access to your personal information, correction of inaccurate information, deletion where appropriate, restriction or objection to certain uses, and a copy of information you provided. You can also raise concerns with the UK Information Commissioner's Office.
10. Copyright and Trade Marks
WKD Sounds Systems®, the WKD Sounds Systems logo, site content, images, layout, and related materials are protected by intellectual property rights. You may not copy, republish, or reuse them except as allowed by law or with permission.
11. Changes to These Conditions
These terms and retention conditions may be updated from time to time. The latest version should be published on the WKD Sounds Systems® website with a new effective date.
